ABOUT EDUPEAK

Business Management Software for the Way Small Businesses Actually Work

Our job is to build and maintain a reliable, secure, and genuinely useful platform; your job is to run your business the way you know how, using tools that keep up with you.

WELCOME TO EDUPEAK

Welcome to Edupeak

Running a small business, a freelance practice, a consultancy, or an agency means wearing far more hats than anyone signs up for. One moment you are chasing a lead, the next you are updating a project timeline, then you are checking whether an invoice has been paid, and somewhere in between you are trying to remember whether a new starter has completed their onboarding paperwork. Most businesses end up managing all of this across a patchwork of spreadsheets, sticky notes, email threads, and separate apps that don't talk to each other.

Edupeak was built to close that gap. It is a web-based business management platform that brings customer relationship management, project management, HR administration, and financial record-keeping together in a single online dashboard. Instead of logging into four or five different tools to get a full picture of your business, you log into one. Instead of re-entering the same customer or project details in multiple places, you enter them once. Instead of guessing where things stand, you open your dashboard and see it.

Edupeak is designed specifically with small businesses, freelancers, consultants, agencies, and other service-based businesses in mind. These are businesses where the person running sales is often the same person managing the team and the same person chasing payment on an overdue invoice. Edupeak is built around that reality, not around the assumption that every business has a dedicated department for each function.

This page explains what Edupeak does, how the platform is organised, how purchases and payments work, and what you can expect from us as a software provider. It also sets out clearly what Edupeak is not, so that you know exactly what you are getting before you sign up.

About Edupeak

Edupeak exists to give service-based businesses the operational backbone that larger companies take for granted, without the cost, complexity, or implementation time that usually comes with enterprise software. We are a software provider, not a consultancy, an accountancy practice, or a staffing agency. Our job is to build and maintain a reliable, secure, and genuinely useful platform; your job is to run your business the way you know how, using tools that keep up with you.

The idea behind Edupeak is simple: a service-based business generates the same four categories of information over and over again, no matter what industry it is in. It generates information about the people it sells to (customers and leads), the work it delivers (projects and tasks), the people who deliver that work (employees and their records), and the money that moves in and out (income, expenses, and invoices). Most software on the market addresses one of these categories very well and ignores the other three, forcing business owners to stitch together a CRM, a project management tool, an HR system, and accounting software, often paying separately for each and manually keeping them in sync.

Edupeak takes a different approach. By combining all four categories into one dashboard, information that would otherwise live in silos becomes connected. A project can be linked to the customer it was sold to. An invoice can be linked to the project it was raised for. An employee record can be linked to the tasks that person is assigned. None of this requires exporting a spreadsheet from one system and importing it into another. It is simply how the platform is structured from the ground up.

We built Edupeak for people who need software that works the way their business actually operates day to day, not software that requires a business to reorganise itself around the tool. Whether you are a sole trader juggling five clients, a growing consultancy with a small team, or an agency managing multiple projects and staff members at once, Edupeak is designed to scale alongside you.

WHO EDUPEAK IS BUILT FOR

Who Edupeak Is Built For

Edupeak is designed for service-based businesses of many shapes and sizes. While the platform can be adapted to a wide range of industries, it is particularly suited to the following:

Small Businesses

Whether you run a local trades business, a retail operation with a service arm, or any small enterprise with a handful of staff, Edupeak gives you a central place to manage customers, projects, employees, and finances without needing a dedicated administrator for each function.

Freelancers

As a freelancer, you are the sales team, the delivery team, the HR department, and the finance department all at once. Edupeak is built to keep all four of those roles organised in one dashboard, so you can track leads, manage the projects you are delivering, keep records for yourself if you take on contractors, and issue invoices and monitor payment, all without switching between separate tools.

Consultants

Consultants typically manage relationships with multiple clients simultaneously, each with their own project scope, deadlines, and deliverables. Edupeak's CRM and project management tools let you keep every client relationship and every engagement clearly separated, while still giving you a single view across your whole client base.

Agencies

Agencies, whether in marketing, design, recruitment, or another service field, often manage a sales pipeline, a portfolio of active client projects, a team of employees or contractors, and a steady stream of invoicing, all at the same time. Edupeak's combined dashboard is designed to support exactly this kind of multi-threaded operation.

Other Service-Based Businesses

Beyond these categories, Edupeak is suitable for any business whose core activity is delivering a service to clients or customers rather than manufacturing or selling physical stock. If your business generates leads, delivers projects or engagements, employs or contracts people, and issues invoices, Edupeak is built with you in mind.

Across all of these business types, the common thread is that the people running the business rarely have the time, budget, or appetite to manage four separate pieces of software and manually reconcile data between them. Edupeak removes that burden by bringing everything into one purchase and one dashboard.

ONE DASHBOARD, FOUR CORE FUNCTIONS

One Dashboard, Four Core Functions

At the centre of Edupeak is a single online dashboard that brings together everything a service-based business needs to operate day to day. Rather than describing Edupeak as "a CRM with some extra features" or "a project tool with a bit of finance bolted on," it is more accurate to think of it as four connected toolsets working from the same underlying data.

The four core functions are:

1. Customer Relationship Management (CRM) — for managing customer records, leads, sales pipelines, and follow-ups. 2. Project Management — for organising projects, tasks, deadlines, and team assignments. 3. HR Administration — for maintaining employee records, leave management, onboarding, and employee documents. 4. Financial Record-Keeping — for creating invoices, recording income and expenses, monitoring payment status, and generating business reports.

Each of these functions can be used on its own, but the real value of Edupeak comes from how they work together. A lead captured in the CRM can be converted into a project once it becomes a paying client. That project can then have tasks assigned to specific employees, whose time and availability are tracked through the HR module. Once work is delivered, an invoice can be raised directly, and payment status can be monitored through the financial record-keeping tools. All of this happens without re-entering the same information three or four times across different systems.

The sections below go into detail on each of these four core functions.

Customer Relationship Management (CRM)

For any service-based business, customers are the foundation everything else is built on, which is why Edupeak's CRM module sits at the heart of the platform.

Customer Records. Edupeak allows you to build a complete record for every customer you work with. Rather than customer information being scattered across email inboxes, business cards, and separate contact lists, each customer has a single, centralised profile within Edupeak. This means that whoever in your business needs to speak to a client, whether that is a salesperson, a project manager, or a member of the finance team, has access to the same up-to-date information rather than relying on whoever happens to have the most recent email thread.

Leads and Sales Pipelines. Before a customer becomes a customer, they are a lead. Edupeak provides tools to track leads as they move through your sales process, from initial enquiry through to closed deal. Rather than relying on memory or a loose spreadsheet to know where each opportunity stands, you can see your entire pipeline at a glance, understand which opportunities are progressing, which have stalled, and which need a follow-up. For businesses that rely on a steady flow of new work, whether that is a consultancy pitching for new clients or an agency responding to briefs, having sales pipeline visibility in the same place as customer records means nothing falls through the cracks between "we spoke to them" and "we signed them."

Follow-Up Tracking. One of the most common ways businesses lose potential revenue is by failing to follow up with leads or existing customers at the right time. Edupeak lets you track when a follow-up is due for any lead or customer, so that outreach becomes a matter of checking your dashboard rather than trying to remember who you promised to call back. This is particularly valuable for businesses with a small team, where there may not be a dedicated salesperson whose only job is chasing leads, but rather several people juggling sales alongside delivery work.

Customer History. Every interaction, project, and transaction connected to a customer builds up a history within their record. Over time, this means that anyone accessing a customer's profile within Edupeak can quickly understand the full relationship: what has been sold to them before, what projects have been delivered, and what the general pattern of the relationship looks like. This is especially useful when a business changes hands internally, for example if a new team member takes over a client relationship, since the history travels with the customer record rather than living in one person's memory or inbox.

Taken together, the CRM tools within Edupeak are designed to give service-based businesses the same kind of customer visibility that much larger companies enjoy through dedicated sales teams and enterprise CRM systems, but in a form that a small team, or even a single freelancer, can realistically maintain.

Project Management

Winning the work is only half the challenge; delivering it well, on time, and within scope is the other half. Edupeak's project management tools are designed to help service-based businesses organise delivery in a way that keeps everyone, from business owners to individual team members, on the same page.

Projects. Every piece of client work can be set up as a project within Edupeak, giving it a defined space where all related tasks, deadlines, and team assignments live. This means that instead of a project's details being split across a proposal document, a series of emails, and someone's personal notes, everything relevant to delivering that piece of work sits in one place.

Tasks. Within each project, work can be broken down into individual tasks. This is particularly important for service-based businesses where a single engagement, whether a marketing campaign, a consulting engagement, or a design project, is really made up of dozens of smaller pieces of work that need to happen in sequence or in parallel. Breaking projects into tasks allows for clearer accountability and a more realistic view of progress than tracking a project as one large, undifferentiated block of work.

Deadlines. Every task and project can carry its own deadline, giving both the business and the client a clear sense of when deliverables are expected. For agencies and consultancies juggling multiple client engagements at once, having deadlines visible across all active projects in one dashboard, rather than in separate calendars or to-do lists per client, makes it far easier to spot scheduling conflicts before they become a problem.

Team Assignments. Edupeak allows tasks and projects to be assigned to specific members of your team. This means that responsibility for each piece of work is clear from the outset, and that anyone reviewing a project can immediately see who is responsible for what. For growing businesses, this is often the point where informal, verbal task allocation starts to break down; having assignments recorded within the platform removes the ambiguity that can creep in as a team grows beyond a handful of people.

Because the project management tools sit within the same dashboard as the CRM, projects can be connected directly to the customer they are being delivered for. This means that when someone in your business wants to understand the full picture of a client relationship, whether that is a completed project, an ongoing one, or one still in the pipeline, they don't need to leave the customer's profile to find it.

For service-based businesses in particular, where the "product" is really a combination of time, expertise, and coordinated delivery, having project management built into the same platform as customer and financial data means that delivery, sales, and billing are never operating from three disconnected versions of the truth.

HR Administration

As service-based businesses grow beyond a single founder, managing people becomes just as important as managing customers and projects. Edupeak's HR administration tools are designed to give small and growing businesses the structure they need to manage their team properly, without requiring a dedicated HR department or expensive standalone HR software.

Employee Records. Edupeak allows you to maintain a record for each employee, giving your business a single, organised place to store relevant employment information. Rather than employee details being spread across paper files, personal spreadsheets, or someone's email archive, each employee's information is held in one accessible profile within the platform.

Leave Management. Tracking who is off, when, and for how long is one of the most persistent administrative burdens for any employer, no matter how small the team. Edupeak's leave management tools let employees and managers track leave requests and balances within the same dashboard used for everything else, removing the need for a separate leave tracking spreadsheet or calendar that has to be manually cross-checked against project schedules.

Onboarding. Bringing a new employee into the business involves a series of steps that are easy to lose track of when they are handled informally: collecting documents, setting up records, and making sure the new starter has what they need from day one. Edupeak provides tools to help structure and track the onboarding process, so that new starters move through a consistent process rather than an ad hoc one that varies depending on who happens to be managing it.

Employee Documents. Edupeak gives businesses a place to store documents relevant to each employee within their record, keeping employment-related paperwork organised and attached to the right person rather than scattered across shared drives or physical filing cabinets.

Because these HR tools sit within the same platform as project management, businesses can connect the people side of their operation to the delivery side. A manager reviewing project assignments can, within the same dashboard, understand who on the team is available, who is on leave, and who has recently onboarded, without needing to check a separate HR system.

It's worth being clear about what this HR administration functionality is, and is not. Edupeak provides record-keeping and organisational tools to help you manage employee information, leave, onboarding, and documents. It is not a payroll service and does not act as an employer of record on your behalf; those distinctions are addressed in more detail later in this document, but they matter enough to repeat here: the HR tools within Edupeak are designed to support your own management of your own team, not to take on employer responsibilities themselves.

Financial Record-Keeping

Cash flow is the lifeblood of any small business, and yet financial administration is often the task that gets pushed to the end of the week, or the end of the month, simply because it doesn't feel as urgent as delivering client work. Edupeak's financial record-keeping tools are designed to make it easier to stay on top of invoicing, income, expenses, and payment status as you go, rather than facing a backlog at month-end.

Invoicing. Edupeak allows you to create invoices directly within the platform, drawing on the same customer and project data already held in your dashboard. Because invoicing sits alongside your CRM and project management tools, you can raise an invoice against a specific customer or project without having to re-enter details that already exist elsewhere in the system.

Recording Income and Expenses. Beyond invoicing, Edupeak lets you record income and expenses as they occur, building up an ongoing picture of your business's financial activity. Rather than reconstructing your income and outgoings from memory or a shoebox of receipts at the end of the tax year, you can keep records current throughout the year.

Monitoring Payment Status. One of the most common cash flow challenges for service-based businesses is simply knowing which invoices have been paid, which are outstanding, and which are overdue. Edupeak lets you track payment status against each invoice, giving you a clear, current view of what money is owed to your business and by whom, so that chasing overdue payments becomes a matter of checking a list rather than manually cross-referencing your invoices against your bank statements.

Business Reports. Edupeak can generate reports drawing on the financial data you have recorded within the platform, giving you a summarised view of your business's financial activity. These reports are built from the information you enter, providing you with a useful internal picture of your income, expenses, and payment status over time.

As with the HR tools, it's important to be clear about the boundaries of this functionality. Edupeak's financial record-keeping tools are designed to help you record and organise your own financial information for your own business purposes. Edupeak does not hold or transmit customer funds on behalf of third parties, does not provide accounting, tax, financial, investment, or legal advice, and does not file tax returns on your behalf. You remain responsible for the accuracy of the records you enter and for how you use them, including for any statutory or regulatory purposes such as tax reporting. Many customers choose to use the reports generated within Edupeak as a starting point that they then share with their own accountant or bookkeeper, rather than as a replacement for professional financial advice.

How Edupeak Works

Getting started with Edupeak is designed to be straightforward, reflecting the fact that most of our customers do not have the time or the technical resources to manage a lengthy software implementation.

1. Choose a Package. Edupeak is sold as a one-off purchase, with a range of packages available. Each package is built around a different combination of features and usage limits, so that businesses of different sizes and needs can select the option that best fits how they operate. Whether you are a solo freelancer who mainly needs CRM and invoicing, or a growing agency that needs the full range of CRM, project management, HR, and financial tools with higher usage limits, there is a package structured around that use case.

2. Set Up Your Dashboard. Once you have completed your purchase, you can begin setting up your Edupeak dashboard: adding your existing customers, importing or entering your current projects, setting up employee records if relevant to your business, and configuring your invoicing details. Because all four core functions live within the same platform, this set-up process only needs to happen once, rather than being repeated separately across multiple tools.

3. Run Your Business Day to Day. From there, Edupeak becomes the place you and your team return to throughout the working day: logging a new lead, updating a project's progress, recording a new employee's leave request, or raising an invoice once a milestone is delivered. Because these activities are connected within a single dashboard, the effort of keeping your business records accurate and current is spread naturally across your working day rather than being saved up as a separate administrative task.

4. Review and Report. Periodically, whether weekly, monthly, or at whatever cadence suits your business, you can step back and use Edupeak's reporting tools to review how your business is performing: which leads converted, which projects are on track, how your team's leave balances look, and what your current financial position is, all from data that has already been captured as part of your everyday use of the platform.

This approach, capturing information as part of normal day-to-day activity rather than as a separate reporting exercise, is at the core of how Edupeak is designed to reduce the administrative burden on small business owners.

Packages and Usage Limits

Access to Edupeak is provided through a one-off purchase. There is no separate licence to buy and no software to install; once you complete your purchase, you get lifetime access to your dashboard from any web browser.

Edupeak offers a range of packages, each combining a particular set of features with a particular set of usage limits. This structure exists because the needs of a solo freelancer are genuinely different from the needs of a twenty-person agency, and a one-size-fits-all package would either overwhelm smaller businesses with cost and complexity, or fail to give larger teams the capacity they need.

In general terms, our packages are structured around the following considerations:

Feature Access. Some packages include the full range of CRM, project management, HR administration, and financial record-keeping tools, while entry-level packages may focus on a smaller subset of these functions, reflecting the fact that a very small business or solo freelancer may not need full HR administration tools, for example, if they have no employees.

Usage Limits. Packages differ in the volume of usage they support, such as the number of customer records, active projects, employee records, or invoices that can be created within your lifetime access. This allows the cost of a package to scale roughly in line with the size and activity level of the business using it.

Team Size. Some packages are designed around a single user, reflecting freelancers and sole traders, while others are designed to support multiple team members accessing and collaborating within the same dashboard.

We recommend reviewing the specific details, features, and usage limits of each current package before purchasing, as these are set out in full on our pricing page and are subject to change from time to time. If your business grows or your needs change, you can purchase a different package separately at any time to reflect how you are actually using the platform.

Payments and Billing

Edupeak takes the security and reliability of customer payments seriously, which is why all payments are processed through Stripe, a payment processor widely used and trusted by businesses around the world.

Payment Methods. Depending on availability, customers can pay for Edupeak using standard card payments processed through Stripe, as well as Bacs Direct Debit where this option is offered. Bacs Direct Debit can be a convenient option for customers who prefer their payment collected directly from a UK bank account, in line with standard Direct Debit practices.

Processing Security. Because payments are processed through Stripe, Edupeak does not itself store your full card details on its own servers. Stripe is a payment infrastructure provider used extensively across the UK and internationally, and is built to meet strict industry standards for handling payment data securely.

One-Off Payment. Your chosen Edupeak package is a single, one-off payment — there is no recurring billing and no ongoing charge. You will receive a receipt for your purchase, and your dashboard access remains active for life from the date of purchase.

Changing Your Package. If you wish to move to a different package, whether to access more features or usage capacity, or a simpler package if your needs reduce, you can do so by purchasing that package separately, in line with our published terms.

It's worth noting clearly that Edupeak is a software provider only. We do not hold or transmit customer funds on behalf of third parties, and we do not provide payment processing services to your own customers as part of the platform beyond the invoicing and payment-status tracking tools described earlier, which are for your own internal record-keeping. Any payments your own customers make to you, outside of your Edupeak purchase itself, are a matter between you and your customers, using whatever payment arrangements you have in place with them.

Our 14-Day Money-Back Guarantee

We want new customers to be able to try Edupeak with confidence, which is why we offer a 14-day money-back guarantee on eligible purchases.

If, within 14 days of purchase, you decide that Edupeak is not the right fit for your business, you can request a refund in line with our published refund terms. This gives you the opportunity to explore the platform, set up your dashboard, and get a genuine feel for how it works for your business, without the pressure of an immediate, irreversible financial commitment.

A few important points about how this guarantee works:

Eligibility. The money-back guarantee applies to eligible purchases as set out in our published refund terms. We would encourage you to review those terms in full before purchasing, as they set out precisely which purchases qualify, any conditions that apply, and the process for requesting a refund.

Timeframe. The guarantee applies within a 14-day window. Requests made outside of this window are handled in line with our standard refund and cancellation terms rather than under the money-back guarantee itself.

How to Request a Refund. If you decide Edupeak isn't right for you within the 14-day window, you can get in touch with us to request a refund in accordance with our published process. We aim to make this process straightforward and to handle requests promptly.

Our goal with this guarantee is simple: we would rather you try Edupeak properly and decide it isn't for you within the first two weeks than feel like you've spent money on a package that doesn't serve your business. At the same time, because the guarantee is governed by our published refund terms, we would always recommend reading those terms carefully so you know exactly what to expect.

Security and Data Handling

Because Edupeak holds customer records, project details, employee information, and financial data, all within one platform, we recognise that the security of that information matters enormously to the businesses that rely on us.

Your Data, Entered by You. All of the financial and HR information managed through Edupeak is entered by you, our customer, for your own business purposes. We do not populate your dashboard with data from other sources; the accuracy and completeness of what you see in your account reflects what you and your team have entered.

Your Responsibility for Your Records. As the business using Edupeak to manage your own customer, project, employee, and financial information, you remain responsible for the accuracy, use, and compliance of the records you keep within the platform. This includes making sure that the information you store about your customers and employees is handled in line with any data protection obligations that apply to your business, such as those under UK data protection law, since Edupeak provides the tool for record-keeping but does not determine what information you choose to collect or how you use it within your own operations.

Platform Security. As your software provider, our responsibility is to build and maintain a platform that keeps the data you enter secure, using appropriate technical safeguards for how information is stored, transmitted, and accessed within the system. Payment information itself is handled through Stripe, as described earlier, rather than being stored directly within Edupeak.

Access Control. Within your Edupeak account, you retain control over who on your team has access to which parts of the platform, allowing you to manage internally who can view or edit customer records, project details, employee information, and financial data, in line with the roles and responsibilities within your own business.

We treat the trust our customers place in us, by storing sensitive business information on our platform, as central to what we do, and we are committed to maintaining a secure, dependable service for the businesses that depend on Edupeak every day.

What Edupeak Is, and What It Isn't

Because Edupeak brings together customer management, project delivery, HR administration, and financial record-keeping, it's important to be completely clear about the nature of the service we provide, so that customers understand exactly what they can and cannot rely on Edupeak for.

Edupeak is a software provider. We design, build, and maintain a platform that gives service-based businesses tools to organise their customer relationships, projects, HR administration, and financial records. Our role is to provide reliable, secure software; it is not to act on your behalf in any regulated or professional capacity.

Edupeak does not hold or transmit customer funds on behalf of third parties. While our platform includes tools for invoicing and tracking payment status, this functionality exists to help you keep your own financial records organised. We do not act as a payment intermediary between you and your own customers.

Edupeak does not process payroll or act as a payroll or employer-of-record service. Our HR administration tools help you maintain employee records, manage leave, structure onboarding, and store employee documents, but we do not calculate or process payroll payments, and we are not an employer of record for any staff you employ. Payroll processing and employer-of-record services are regulated activities that require dedicated providers, and businesses using Edupeak that need these services should arrange them separately.

Edupeak does not provide accounting, tax, financial, investment, or legal advice. The financial record-keeping tools within our platform are designed to help you record and organise information about your own income, expenses, and invoicing. They are not a substitute for advice from a qualified accountant, tax adviser, financial adviser, or solicitor, and nothing within the platform or on this website should be treated as such advice.

Edupeak does not file tax returns on behalf of customers. While the reports generated within the platform may be a useful reference point when preparing tax filings, whether prepared by you directly or by an accountant you work with, the responsibility for preparing and submitting accurate tax returns rests with you or the professional advisers you engage, not with Edupeak.

Edupeak does not provide any regulated financial services. We are a technology company providing business management software, not a bank, payment institution, or financial services provider in our own right, beyond our use of Stripe as a payment processor for collecting your payment.

All financial and HR information managed through the platform is entered by customers for their own business purposes. Everything you see reflected in your Edupeak dashboard is based on information you and your team have entered. You, as the customer, remain fully responsible for the accuracy, appropriate use, and legal or regulatory compliance of the records you keep within the platform, including how those records are used for purposes such as accounting, tax reporting, or employment law compliance.

We set all of this out clearly because we believe customers deserve to know precisely what they are purchasing. Edupeak gives you powerful, connected tools to organise the operational and administrative side of your business. It is not, and does not claim to be, a substitute for professional financial, tax, legal, or payroll advice and services, and we would always encourage customers to engage appropriately qualified professionals for those needs.

Why Businesses Choose One Dashboard Over Several Tools

Many of the businesses that come to Edupeak have, at some point, tried to run their operations using a stack of separate tools: a CRM for tracking leads, a project management app for organising delivery, perhaps a spreadsheet or lightweight HR tool for staff records, and a separate invoicing or accounting package for finances. It's a common approach, and each of those individual tools may well do its own job perfectly well. The friction tends to show up in the gaps between them.

Duplicate Data Entry. When customer, project, HR, and financial information live in separate systems, the same details often need to be entered more than once. A new client's name, contact details, and agreed project scope might need to be typed into the CRM, then again into the project management tool, and again onto the first invoice. Each re-entry is a small opportunity for a typo, an inconsistency, or simply wasted time. Within Edupeak, information entered once, such as a customer's details, is available wherever it's needed across the platform, whether that's a project, an invoice, or a report.

Disconnected Reporting. When your customer data lives in one tool and your financial data lives in another, understanding something as simple as "which of our clients are most profitable" can mean manually exporting data from two systems and combining it in a spreadsheet. Because Edupeak holds CRM, project, HR, and financial data within the same platform, reporting can draw on a more complete picture without that manual reconciliation step.

Multiple Tools to Manage. Running four separate tools usually means four separate logins, four separate bills, and four separate vendors to deal with if something goes wrong. Edupeak consolidates this into a single purchase and a single dashboard, which is often a meaningful simplification for small teams who don't have the bandwidth to manage a sprawling software stack.

Inconsistent Access Across the Team. When different tools are used for different functions, managing who on your team has access to what can become complicated, particularly as a business grows and takes on more staff. With everything inside one platform, access can be managed more consistently from a single place.

A Single Source of Truth. Perhaps most importantly, bringing customer, project, HR, and financial data into one dashboard means that everyone in the business, whoever they are and whatever their role, is working from the same underlying information. There's no question of whether the CRM or the spreadsheet has the "real" version of a customer's details, because there's only one version to begin with.

None of this means that standalone, specialist tools don't have their place, particularly for very large or highly specialised businesses with needs that go well beyond what a combined platform can offer. But for the small businesses, freelancers, consultants, and agencies Edupeak is built for, the case for a single connected dashboard, rather than several disconnected ones, tends to be a strong one.

Your Data and Your Dashboard

Because Edupeak becomes the place where a business's customer, project, HR, and financial information lives, we think it's important that customers feel confident about how that information is handled and how much control they retain over it.

You Retain Ownership of Your Records. The customer records, project details, employee information, and financial data you enter into Edupeak belong to your business. Edupeak provides the platform and the tools to organise that information, but the underlying records are yours.

Structured, Consistent Record-Keeping. Because every customer, project, employee, and financial record within Edupeak follows a consistent structure, your business's information stays organised even as it grows in volume. This structure also makes it easier to locate specific information quickly, whether that's a customer's history, a project's current status, an employee's leave balance, or an invoice's payment status.

Working Alongside Your Other Advisers. While Edupeak is not a substitute for professional accounting, tax, legal, or payroll services, the records and reports you build up within the platform can be a genuinely useful resource to share with the professionals you do work with. Many customers use exported reports from Edupeak as a starting point for conversations with their accountant or bookkeeper, rather than sending that adviser a folder of disconnected spreadsheets and receipts.

Support When You Need It

Adopting new software, even software designed to simplify your operations, can raise questions along the way, particularly in the first few weeks of setting up your dashboard. We aim to make sure that customers are never left without a way to get help.

Getting Started. When you purchase Edupeak, you'll have access to guidance to help you set up your dashboard, add your existing customers and projects, and configure the features relevant to your package.

Ongoing Questions. As you use the platform day to day, whether you have a question about a specific feature, need help understanding your package, or run into an issue, our support resources are there to help you find an answer or get in touch with us directly.

Payment and Account Queries. If you have a question about your purchase, your payment, or the money-back guarantee, you can reach out to us directly, and we aim to handle these queries promptly and clearly.

We know that for a small business, time spent troubleshooting software is time not spent serving customers or delivering projects, which is why we're committed to making sure help is available when you need it.

A Day With Edupeak: Example Scenarios

It's often easier to understand how a platform like Edupeak fits into daily business life through a few concrete examples, rather than a general description of its features. Here's what a typical day might look like for a few different types of Edupeak customers.

A Freelance Consultant. Maria runs a one-person marketing consultancy with five ongoing clients. Her morning starts by checking her Edupeak dashboard, where a follow-up reminder shows that a prospective client she met at a networking event two weeks ago is due a check-in call. She logs the outcome of that call directly against the lead's record in the CRM, updating the pipeline stage from "initial contact" to "proposal sent." Later in the day, she finishes a piece of work for an existing client and, from within that client's project, raises an invoice for the milestone she's just completed. That evening, she checks her payment status view and sees that an invoice from three weeks ago is still outstanding, so she sends a polite follow-up. Everything she needed for that day, tracking a lead, updating a project, raising an invoice, and chasing a payment, happened inside one dashboard.

A Small Design Agency. James runs a design agency with six employees working across eight active client projects at any given time. His day starts by reviewing the project management view, where he can see task deadlines across all eight projects at a glance and spot that one project is falling behind schedule because a designer has upcoming leave that hasn't yet been factored into the task assignments. He reassigns a task to another team member directly within the project. Later, his office manager uses the HR administration tools to process a leave request from a new starter who joined the previous week, referring back to the onboarding checklist within that employee's record to confirm all the necessary documents have been collected. At the end of the month, James pulls a business report from the financial record-keeping tools to review income and outstanding invoices across all active client accounts, ahead of a call with his accountant.

A Growing Trades Business. Priya runs a small business offering specialist maintenance services, with a team of four field staff and one office-based coordinator. New enquiries come in by phone and are logged as leads in Edupeak by the coordinator, who tracks each one through to a scheduled job. Once a job is confirmed, it becomes a project with tasks assigned to the relevant field staff member, along with a deadline reflecting the agreed appointment date. When the job is complete, an invoice is raised directly against that project. Priya, meanwhile, uses the HR administration tools to keep track of each team member's holiday entitlement and to store copies of relevant qualifications and certifications within their employee records, so they're easy to find if a customer or regulator ever asks for evidence of a team member's credentials.

A Multi-Client Consultancy. David's small consultancy advises businesses on operational efficiency, typically running three or four client engagements simultaneously, each lasting several months. Because each client relationship in Edupeak carries its own history, David can open any client's record before a meeting and immediately see the full context: how the relationship started as a lead, what proposals were sent, what the current project's task list and deadlines look like, and what has and hasn't yet been invoiced. Rather than digging through old email threads or separate notes before every client call, that context is already assembled and waiting for him.

These examples reflect the everyday reality Edupeak is designed for: not a single dramatic use case, but the steady accumulation of small, connected tasks, a follow-up here, a task reassignment there, an invoice raised, a leave request processed, that together make up the operational side of running a service-based business. Having all of it in one dashboard doesn't remove the work itself, but it does remove the friction of chasing that work across disconnected tools.
